We therefore want to inform you transparently about the purposes for which we process your data and whether or how long we store it. This is to enable you to decide for yourself the purposes for which we may process your data. This Privacy Policy (together with any other documents referred to herein) sets out the basis on which personal data collected from you or that you provide to us will be processed by us in connection with our recruitment processes. Please read the full policy carefully to understand how we process your personal data.
We use the platform (Teamtailor) as Data Controller to attract candidates and manage the recruitment process (the "Service").
When you apply for a job opening posted by us, this Privacy Policy will apply to our processing of your personal data. When you apply for a job opening through a job board or similar online service provider, you should note that the relevant job board may retain your personal data. Any use by a job board or similar service provider of your personal data will be in accordance their privacy policy.

YOUR PERSONAL DATA
Data we collect from you
We collect and process some or all of the following information from you:
Contact information: Name, e-mail, postal address, telephone number, social media profile.
Information that you upload to the Service: CV, reference letters, qualifications, images etc. relating to your employment history, skills, and experience.
Information linked to interviews: Information you provide to us in regular interviews and/or video interviews. Results from tests performed by you in relation to a recruitment process.
Technical data: Information about your use of the Service (e.g., the URL you are accessing the career site from, your IP address, unique device ID, language, and operating system etc.)
Surveys: Your input on surveys that we might use for research purposes, although you do not have to respond to them.
If you are unable to provide us with the personal data above, please note that we might not be able to provide you with the Service in its entirety. Also note that we will process all the personal data that you provide us with in relation to the Service. Therefore, please only provide us with necessary information and not with any sensitive personal data. Sensitive personal data is personal data revealing racial or ethnic origin, political opinions, religious or philosophical beliefs, or trade union membership, and the processing of genetic data, biometric data for the purpose of uniquely identifying a person, data concerning health or data concerning sex life or sexual orientation.
Data we collect from other sources
If you apply for a job opening or connect with us through your social media profile, such as LinkedIn, we will collect your personal data from the relevant social media profile and synchronize with the Service.
The Service allows us to collect your data from third party providers and synchronize with the Service, which may include your personal data, to better understand your fit for a specific role and to develop and improve the Service.
We may also receive your personal data from a party who recommends you as a candidate for a specific job opening or for our business in general.
Legal basis for processing
National law: If you apply to us and provide us with personal data for this purpose, we process this data for the purpose of carrying out an application procedure in order to be able to make a decision on an employment relationship. The legal basis in this respect is Article 88 GDPR, § 26 German Federal Data Protection Act.
Performance of a contract or prior to entering into a contract: If the processing is necessary for the performance of a contract to which the data subject is party or in order to take steps at the request of the data subject prior to entering into a contract, Art. 6 (1) lit. b GDPR.
Legitimate interest: Where we have a legitimate interest to process your personal data, we have made an overall assessment where we have weighed our legitimate interests against your interest and rights, with the conclusion that our interests do not override your interest, Art. 6 (1) lit. f GDPR.
Consent: If we no longer have a legitimate interest in processing your personal data, we will ask for your consent to continue processing your personal data. For example, the personal data processing that occurs through cookies is based on your consent as a legal basis for processing, Art. 6 (1) lit. a, Art. 7 GDPR.
Legal obligation: We may be obliged to disclose information about you due to a legal obligation if the disclosure is requested from us by lawfully acting authorities or law enforcement bodies. The legal basis for such a case is Art. 6 (1) lit. c GDPR.
When we collect your personal data
We collect your personal data when you:
- Submit your job application to us directly on our career site, or through your social media profile, or through external job boards.
- Connect with us in order to be considered for future job applications and receive updates about job openings, either directly on our career site, or through your social media profile.
- Contact any of our employees through the Service.
- Provide information to us in connection with an application process.
- Provide feedback during or after a recruitment process.
PURPOSE OF PROCESSING OF PERSONAL DATA
Data Processing when using our website
If you visit our website without registering or providing us with information in any other way, we only process the personal data that your browser transmits to our server and that is technically necessary for the correct display of our website and to ensure stability and security. These are, for example, the following data (hereinafter "log data"):
- Date and time of access
- URL of the referring website (referrer URL)
- retrieved file
- amount of data transferred
- message whether the retrieval was successful
- browser type and version
- operating system and version
- IP address of the accessing computer.
These aforementioned data are processed for the following purposes:
(1) Ensuring a smooth connection setup of the website,
(2) Ensuring a comfortable use of our website,
(3) System security and stability as well as tracking of unauthorized access attempts and accesses to the web server.
Log data is stored for a period of thirty days and then deleted.
The legal basis is the legitimate interest. We have a legitimate interest in the security and stability of the tele media service and in the defense against and prosecution of cybersecurity attacks.
We pass on the collected data to the responsible internal departments and to other affiliated companies of the Knauf Group https://www.knauf.de/profi/wir-bei-knauf/ueber-uns/ or to external service providers, contractors (e.g., hosting, content management system) for processing in accordance with the necessary purposes (for the presentation of the website and the creation of content).
Data processing in the context of your application
The purpose of processing personal data through the Service is to identify and hire suitable candidates and to communicate with and assess candidates based on current and/or future recruitment needs. We must therefore collect your personal data so that you can apply for a job or connect with us. We only process personal data that is relevant to the recruitment process and the personal data will only be made available to those who need it to fulfil the purpose.
We use information that we collect about you to:
- Consider your application in respect of a role for which you have applied.
- Consider your application in respect of other roles.
- Communicate with you in respect of the recruitment process.
- Enhance any information that we receive from you with information obtained from third party data providers.
- Find appropriate candidates to fill our job openings.
- Help us improve the Service.
Your personal data will be deleted at the latest 6 month after the rejection of a candidate.
Other activities
We offer various ways in which you can contact us or be informed about news. For this purpose, further data is regularly required, which we must process in order to provide the respective service.
Online meetings
The Knauf Group uses services of external service providers to conduct online meetings (telephone conferences, video conferences, webinars, etc.). When participating in an online meeting, the following categories of personal data are processed:
- For technical operation: participant details, such as name or username, telephone number/email address, profile picture (optional), participant IP address, camera/profile picture; designation/topic of the meeting, meeting ID, password if applicable, location; text, audio, and video data if the participant uses a chat function and the microphone and/or camera of the terminal device.
- Other personal data provided by participants of online meetings.
- Recording (audio/video recording) of online meetings does not take place as a matter of principle, unless all participants in the online meeting agree to the recording prior to the start of the recording.

If the online meeting is conducted in the context of an existing or planned contractual relationship, the contractual relationship is the legal basis for its implementation.
If there is no contractual relationship (before), the processing is based on our legitimate interest of an effective implementation of online meetings. In this respect, the legal basis is Art. 6 para. 1 lit. f GDPR.
Should we conduct an online meeting as part of an application process, the legal basis for the processing of personal data for this, as well as for online meetings with employees, is Section 26 (1) German Federal Data Protection Act.
If recording may be useful in individual cases, this will only take place if the participants have been informed of this and have expressly consented to the recording (Art. 6 (1) lit. a GDPR.
Your data will be deleted when the data is no longer necessary for the purpose.
Knauf events
When registering for Knauf Group events, we process the personal data you provide, such as name, address, e-mail, and telephone number.
The purpose of the processing is to handle your event registration, for the coordination and planning of the event modalities and to provide you with individual event support.
Following your seminar, the data will only be passed on internally to the necessary departments for processing and support.
The legal basis for the processing of your personal data is Art. 6 (1) lit. b GDPR, if your data is required for the implementation of the event.
Your data will be deleted when the data is no longer necessary for the purpose.
General communication
The processing of your data, such as name, address, e-mail, when contacting or interacting with our website or its content is carried out by us exclusively based on your consent pursuant to Art. 6 (1) lit. a GDPR or on the basis of Art. 6 (1) lit. f GDPR.
Our legitimate interest is to respond to your request. If your contact aims at the conclusion of a contract, the additional legal basis for the processing is Art. 6 para. 1 lit. b DS-GVO.
We process the data you provide in this context, and which may be accessible to us for the purpose of contacting and communicating with our interested parties and potential interested parties. This is also our legitimate interests in the data processing according to Art. 6 para. 1 p. 1 lit. f DS-GVO.
Your data will be deleted when the data is no longer necessary for the purpose.
Automated decision making/profiling
The Service allows us to select appropriate candidates to consider based on criteria expressly identified by us, or typical in relation to the role for which you have applied. The process of finding suitable candidates is automatic, however, any decision as to who we will engage to fill the job opening will be made by our staff. This process is performed based on legitimate interest in order to facilitate the recognition of candidates with higher potential of being hired. It does not evaluate key characteristics regarding an individual and is completely anonymous. We do not use fully automated decision-making pursuant to Art. 22 GDPR.
Disclosure of your data
We will pass your data to processors of the Service and other third-party service providers (connected to the Service) who use it only in accordance with our instructions and as otherwise required by law. We may also share your personal data with authorities to fulfil obligations under law or execute decisions
We also may share your data in the following circumstances:
Personal Information may be provided where we are required to do so by law (such as, but not limited to a government order or a subpoena, which we will take steps to contest prior to disclosing), or if we believe in good faith that it is reasonably necessary (i) to respond to claims asserted against us or to comply with the legal process (for example, discovery requests, subpoenas or warrants); (ii) to enforce or administer our policies and agreements with users; (iii) for fraud prevention, risk assessment, investigation, customer support, product development and debugging purposes, including investigation of violation of our terms or agreements with others; or (iv) to protect our rights, property or safety, its users, business partners or members of the general public.
We also may sell, transfer or otherwise share some or all of its assets, including your personal data, in connection with a merger, acquisition, reorganization or sale of assets or in the event of bankruptcy. Under such circumstances, we will use commercially reasonable efforts to notify our users if their personal data is to be disclosed or transferred and/or becomes subject to a different privacy policy.
HOW WE STORE YOUR PERSONAL DATA
Security
We take appropriate measures to ensure that your personal data is kept secure including security measures to prevent it from being accidentally lost or used or accessed in an unauthorized way. We limit access to your personal data to those who have a genuine business need to access it. Those processing your data will do so only in an authorized manner and are subject to undertakings of confidentiality.
Where we store your personal data
If you are located within the EU/EEA, the data that we collect from you and process using the Service is only stored within, and on devices physically located within, the EU/EEA, or such third country deemed to offer an adequate level of security by the European Commission, or by suppliers that have entered into binding agreements that fully comply with the lawfulness of third country transfers. By submitting your personal data, you agree to this transfer, storing or processing.
How long we store your personal information?
Your data will be processed as long as it is necessary for the purposes linked to the personal data and we have a legal ground to process your personal data. The personal data processed with consent as legal ground is only processed as long as we have valid consent. Upon your written request to us, your personal data will be deleted.
After completion of a recruitment, there is certain information that we are obliged to save by law. If your personal data is processed by us for this purpose, we will ensure that it is processed only for the purposes stated in the legislation.
YOUR RIGHTS
Right of access (Art. 15 GDPR)
You have a right to access Personal Data processed about you. Your right of access may normally be exercised free of charge; however, we reserve the right to charge an appropriate administrative fee.
Right of rectification (Art. 16 GDPR)
You have the right to request that we rectify any Personal Data we process that is inaccurate or misleading.
Right to restriction of processing (Art. 18 GDPR)
You have the right to restrict processing of your personal data if the legal requirements are met (see Art. 18 (1) GDPR).
Right to erasure (Art. 17 GDPR)
You have the right to request the deletion of your Personal Data. Please note that there may be circumstances in which we are required to process your Personal Data, for example for the defense of legal claims.
Right to data portability (Art. 20 GDPR)
You have the right to receive your personal data in a structured, commonly used and machine-readable format (Art. 20 GDPR).
Right to object (Art. 21 GDPR)
You have the right to object at any time to the processing of your personal data which is based on Art. 6 (1) lit. e or lit. f GDPR.
In addition, you have a right to lodge a complaint with a supervisory authority pursuant to Art. 77 GDPR in connection with Art. 19 GDPR.
Right of withdrawal (Art. 7 (3) GDPR)
You have the right to withdraw your consent at any time. Please note that there may be circumstances in which we are authorized to continue processing your personal data, in particular if the processing of personal data is required to meet legal and regulatory obligations.
Right to lodge a complaint
The GDPR gives you right to lodge a complaint with a supervisory authority, in particular in the European Union (or European Economic Area) in the state where you work, normally live or where any alleged infringement of data protection laws occurred.
